R&D ADMINISTRATIVE PROFESSIONAL

REPORTING TO

Technology and Innovation Executive

MINIMUM QUALIFICATIONS

Grade 12 & Secretarial qualification or equivalent

MINIMUM EXPERIENCE

Min. 5 years’ experience in technical secretarial and administration duties

MAIN RESPONSIBILITIES

  • Maintains and manages the controlled version of the creation/ revisions/discontinuations of Technical Data Sheets, Commercial Product Listings and Material Safety Data Sheets and communicates status thereof and ensures availability of the documents internally and externally via the intranet/internet websites. Creation and control of the templates for all these documents. Monitors the documents tracking sheets.
  • Co-ordinate the creation/updates of all Technical literature and availability for the group.
  • Schedule/co-ordinate training for new colleagues and training presentations are available. Ensures training matrix is collated and attendance records are completed and forwarded to the training coordinator.
  • Assist Product Steward with the creation/distribution of Food contact compliance letters, Declaration of Compliance letters, and all other regulatory request letters. Monitors the tracking sheets with all changes.
  • Assist the Technology & Innovations Executive and the R&D ISO coordinator via EDRMS as appropriate for the business and approval of procedures and documents required in ODMS.
  • Scheduling and coordinating meetings and organizing meeting rooms as well as refreshments and catering requirements.
  • Accurate minutes taking during R&D meetings when required.
  • Administer technical writing of R&D documents.
  • Organizing and coordinating workshops and R&D led conferences.
  • Assist with travel arrangements for the R&D team (local & overseas).
  • Follow the corporate intellectual property requirements by ensuring all generated documents for distribution are created in .pdf format and that the change/copy security is activated.
  • Assist with general R&D administrative duties which include:
  • Obtaining quotes and creating purchasing requisitions and Service/Goods receipt within SAP. Ensure Invoices are forwarded to Accounts for payment.
  • Ordering of stationary and office supplies.
  • Arrange delivery and collection of samples via DHL.
  • Administration of file shares within the group to ensure change/read access requirements for colleagues.
  • Arrange and Coordinate new employee’s training within R&D group.
  • Co-ordinate and forward leave forms to HR.
  • Respond to reception door when receiving visitors and deliveries.
  • Distribution of information received from Associations and Institutions.
  • Back-up for R&D processes (STS, QN, Raw Material process)
  • Assist other colleagues as and when needed.
  • Perform other activities as required to achieve the goals of the organization.
  • Compile and distribute newsletters for R&D, Sustainability and Bryanston office

MINIMUM CRITICAL REQUIREMENTS

  • High proficiency in MS Outlook, Work, Excel & Powerpoint
  • High proficiency regarding media and electronic tools.
  • Knowledge of SAP will be most advantageous.
  • Excellent communicator both orally and written. 
  • Ability to interact with people and employees at all levels and functions.
  • Must be able to work under pressure.
  • Good understanding of ISO 9001:2015
  • Experience regarding document management and record retention
